JOB SUMMARY: The Business Analyst – GTO CoE provides the analytical, documentation, and reporting support that allows the GTO Center of Excellence to operate at scale across the portfolio. The role produces and maintains the artifacts the CoE depends on, including process documentation, governance templates, intake forms, lifecycle standards, and portfolio reporting, and performs the quality checks and data cleanup that keep portfolio information accurate and decision-ready. Reporting to the Director Governance & Operating Model, this position partners with CoE role owners, portfolio and PMO delivery teams, reporting and tooling partners. The Business Analyst supports recurring governance and reporting cycles, and works within the established initiative lifecycle to confirm that required artifacts and data are complete at each stage. Assignments span multiple CoE domains, so the role requires comfort moving between process, framework, reporting, and tooling topics within the same week. POSITION RESPONSIBILITIES: Develop and maintain process documentation, SOPs, templates, forms, and governance artifacts across all CoE domains, and keep them version controlled and accessible. Support documentation of intake models, lifecycle standards, role definitions, responsibility matrices, and governance requirements under the direction of CoE role owners. Prepare and consolidate recurring portfolio reporting inputs, confirming that initiative updates, health statuses, milestones, and risks are submitted, complete, and consistent with reporting standards. Support intake and approval workflows by validating request records, tracking items through approval stages, monitoring aging, and following up with requestors on missing information. Perform dashboard and report quality assurance, tracing figures back to source records and documenting discrepancies for correction. Execute data cleanup and standardization across portfolio trackers and reporting sources, including field hygiene, naming conventions, date and status integrity, and resolution of duplicate or stale records. Assemble governance materials, analysis, and supporting documents for leadership forums, including portfolio review packs and stage-gate review packages. Support requirements gathering and documentation for CoE process, reporting, and tool-related needs, translating stakeholder requests into clear requirements, acceptance criteria, and process flows. Build and maintain process flows, swim lanes, and workflow diagrams that document how governance processes operate end to end. Assist with configuration and maintenance updates to intake forms, workflows, automations, and governance-support tools in partnership with tool administrators. Maintain reference materials, standards documentation, process guides, training materials, and quick-reference job aids used across GTO. Track adherence to governance standards across the portfolio, flagging missing artifacts, incomplete stage-gate deliverables, and overdue updates for follow-up by CoE role owners. Support onboarding of project managers, program managers, and business partners to CoE standards, tools, and templates by preparing walkthrough materials and answering routine process questions. Capture feedback on CoE processes and templates from delivery teams, and recommend refinements that reduce administrative effort while preserving governance intent. Maintain trackers, action logs, and meeting documentation for CoE workstreams, and follow assigned action items through to closure. Perform ad hoc analysis on portfolio data, including initiative counts, cycle times, gate durations, and spend or resource views, to answer questions from CoE and portfolio leadership. QUALIFICATIONS: DEGREE TYPE: Bachelor's Degree. FIELD(S) OF STUDY: Related field of study. Business Administration, Marketing, Engineering, Architecture, Management Information Systems or related field of study or any equivalent combination of experience and skills.. EXPERIENCE: 3+ years of experience in business analysis, PMO support, governance support, process documentation, or portfolio coordination. Experience supporting a PMO, CoE, governance, or portfolio-management function within a matrixed organization. Hands-on experience with Smartsheet, JIRA, Clarity, Power BI, or similar portfolio and reporting platforms. Experience producing process documentation, governance artifacts, templates, and portfolio-reporting outputs reviewed by senior stakeholders. Experience validating data across multiple systems and reconciling reporting discrepancies to source records. Experience supporting recurring governance or reporting cycles with fixed deadlines, such as weekly status reporting, monthly portfolio reviews, or stage-gate reviews. Familiarity with stage-gate lifecycle models, intake and prioritization processes, and Agile and Waterfall delivery frameworks. Experience in technology organizations or enterprise transformation efforts. COMPETENCIES & SKILLS: Strong documentation, analytical, and organizational skills, with the ability to produce clear, publication-ready artifacts with minimal rework. Ability to create process flows, templates, business requirements, and reporting-support artifacts that are usable by non-technical audiences. Working proficiency with spreadsheet and reporting tools, including formulas, filters, and views, sufficient to validate and reshape portfolio data independently. Strong attention to detail and follow-through, including on items requiring repeated stakeholder follow-up. Strong written and verbal communication skills, with the ability to summarize findings clearly for senior audiences. Ability to support multiple CoE role owners and switch context across process, framework, reporting, and governance topics. Ability to work to fixed reporting deadlines, manage competing requests, and escalate trade-offs early. Discretion in handling confidential portfolio, financial, and organizational information.
